1.1 Students may only enrol for a course if they accept AIL Madrid’s Terms and Conditions.
1.2 Intensive classes in the current week cannot be rearranged.
1.3 Individual classes and evening classes can be rescheduled in the event that the Administration Department is informed in writing (email) 24 hours (or one working day) before the scheduled time of the class. If less than 24 hours notice is given, the class cannot be subsequently made up.
1.4 Class schedules are subject to change.
1.5 In case of errors with the online fee calculator, AIL Madrid will confirm the price offered within 2 working days of an online booking.
1.6 The school is closed on public holidays and in general classes are not made up. If two public holidays fall in the same week, then classes from one day will be made up. For a list of the 2010 public holidays, please see below.
1.7 If your level of Spanish is unsuitable for the course you have booked, AIL Madrid reserve the right to move you to a more suitable course.
1.8 If you have come to AIL Madrid through an agent, their terms and conditions may apply to you; AIL Madrid reserve the right to apply our terms.
1.9 Travel costs, food and drink, examination fees and entrance charges levied by third parties (museums etc) are not included in the course price.
1.10 In the exceptional case that there is only 1 student enrolled on a course of a certain level, the number of classes will be reduced to 40% of the published number and 80% in the case of 2 students.
2.1 Spanish host family, student residence and shared flat accommodation is booked from the day before your course starts to the day after it ends. If you would like to arrive earlier or leave later we will try to arrange this but may have to offer you an alternative such as a hotel for the extra nights.
2.2 The student will be charged for the replacement of broken items due to either negligence or by intention. If there is damage and no one is directly responsible, we will divide the cost of repairs among all the students in the flat or residence.
2.3 In the case of a serious disciplinary offence, repeated bad behavior, the student will be expelled from the accommodation contracted with AIL Madrid without the right to any refund.
2.4 If a student decides that he/she wants to postpone or take a break from any program the accommodation is not cancelable under any circumstances.
2.5 AIL Madrid reserves the right to change students' accommodations at any time.
2.6 A damage deposit of 60€ is required for stays in shared flats. The damage deposit is due on your first day at school and should be paid by debit/credit card. The guarantee is refunded to your debit/credit card on departure once AIL Madrid have received the keys and your room has been satisfactorily inspected*. Please note part or all of the guarantee may be retained if:
- The bedroom is not left in a clean and tidy state
- The student has caused a noise disturbance
- The student has damaged the furniture or part of the installations of the flat
*The guarantee will be refunded in a period of less than a week following your departure.
2.7 Student Residence Booking Confirmation Deposit: In order to reserve your place in the student residence a deposit of one month is required and should be paid at the time of making your booking. On arrival at AIL Madrid, the Booking Confirmation Deposit converts into a Guarantee. This will be returned in a period of less than 7 days following your departure in the same form as it was paid.
2.8 For registrations received a week or less prior to the beginning of a course, AIL Madrid cannot guarantee the type of accommodation desired and requested by the student.
3.1 Once AIL Madrid has received the required upfront payment, the invitation letter (certifying enrolment) will be sent to the address given by the student. If the student requires to get the confirmation letter sent by a courier (such as UPS), student will have to pay for these costs in advance.
3.2 The invitation letter (certifying enrolment) can ONLY be issued by the school when the enrolment form has been received and the upfront payment has been made for either €600 or half the course and accommodation fees (whichever is greater).
4.1 Medical: European Union nationals are insured through the state insurance fund against accident and illness. Before travelling you should apply for the European Health Insurance Card (EHIC) from your local health insurance office.
Non-European Community nationals should have an international health insurance policy that is valid for Spain.
4.2 Personal liability insurance: AIL Madrid strongly advises all students to ensure that they have adequate personal liability insurance (to cover you in the event of a claim made against you) and require all students staying with Spanish host families or in shared flats to be covered.
4.3 Civil Liability: AIL Madrid has an accident and civil liability insurance policy that covers possible incidents or minor accidents that may occur at the School.
4.4 Personal Property: No liability is accepted by AIL Madrid for loss or damage to property either in AIL Madrid or its accommodations.
In compliance with Spanish Law 15/1999, December 13, regarding the protection of personal data, AIL Madrid would like to inform you that your personal details within these general conditions will be stored in a database (whose liability and responsibility is Academia Internacional de Lenguas Madrid, S.L.), solely for the commercial and operative purposes of the company. By accepting these Terms and Conditions you give your consent to the above said treatment and for their use for the aforementioned purposes. You have the right to request that we inform you of your rights to access, correct and cancel such information within the established terms of the prevailing legislation, by writing to the address: Calle Núñez de Balboa 17 2D, 28001 Madrid – Spain.
6.1 AIL Madrid reserves the right to cancel the student’s place if on the day of their arrival they or their agency have not paid the total sum of the course, accommodation and other services contracted.
6.2 In the case of a serious disciplinary offence, repeated bad behavior or infringement of Spanish law, the student will be expelled from the school and accommodation contracted with AIL Madrid without the right to any refund.
6.3 In the case where damages are caused to third parties, all the expenses claimed from AIL Madrid that originate from the above-mentioned incident will be charged to the student, who will have no right to later claims.
7.1 €75 will be charged for administrative costs for changes to your confirmed reservation, before or after arrival.
7.2 For the confirmation of reservations made 2 weeks or less before arrival the total invoice must be paid in full at the time of enrolment.
8.1 Cancellations before arrival will only be accepted in writing (e-mail). Written evidence of the cancellation is required and therefore cancellations made by telephone will not be deemed valid.
8.2 For cancellations prior to two weeks before arrival, €100 of the upfront payment will be retained.
8.3 For cancellation in the last two weeks before arrival the whole upfront payment will be retained.
8.4 In no case whatsoever will money for the course/accommodation be refunded once the course has started (except in the case of the Cancellation Insurance).
8.5 For all reimbursements (including the Cancellation Insurance) an administrative fee of 10% of the amount to be refunded will be charged (a minimum €65) to cover the administrative costs of returning your money, as well as the standard fee for changes in the reservation (€75).
8.6 For students who have received visa invitation letters, the minimum cancellation fee is €600 (or 20% of the course and accommodation cost if this is greater).
8.7 For students who have been issued with visas, refunds will only be considered once the student provides proof of leaving Spain and once the visa obtained through AIL Madrid is no longer valid. In addition, the cancellation will only be valid on the student’s return to their country of origin.
8.8 Any refunds will made in the 15 day period following the request by bank transfer to the bank account of the student or to the account from where the payment has been made (not valid any other account or person).
8.9 In the event of a cancellation, AIL Madrid quoted prices will be applied. For example if on booking the course the student received a discount due to the length of the course, this will be lost on cancellation.
9.1 Cancellation Insurance can be purchased. It costs 5% of the total sum of the full program invoice and has to be paid in full upon reservation in order for it to be valid.
9.2 The Cancellation Insurance covers the cost of your course and accommodation and is valid for the date of purchase until the end of your course. The Cancellation Insurance does NOT include enrolment fee and services already used at the time of cancellation, the cost of the Insurance itself, your travel costs and an administrative fee of 10% of the amount to be refunded to cover the administrative costs of returning your money.
9.3 The Cancellation Insurance is personal and non-transferable and will be applicable to the following cases: work, examination, proven illness by Spanish doctor of the student following their arrival in Spain or proven illness in their home country prior to their arrival, pregnancy or the obligation of doing military service.
9.4 The refund will be made in the 15 days after receipt of the cancellation documentation and paid by bank transfer to the bank account of the student or to the account from where the payment has been made (not valid any other account or person).
9.5 Not having obtained a visa is not an adequate reason for the Cancellation Insurance to take effect.
10.1 An upfront payment is required to reserve your course.The remaining balance is payable in full on the first day of your course. Without the full payment AIL Madrid can cancel the program, and the student has no right to a refund. Please put your name and ‘AIL Madrid’ on all documents relating to transfers.

10.3 Personal cheques cannot be accepted. Bank cheques will be accepted only if the cheque is received a minimum of 80 days before arrival and with an extra € 35 fee.
10.4 AIL Madrid is not responsible for printing errors that may appear or for errors in publications by third parties about AIL Madrid.
The management of AIL Madrid reserves the right to use all possible photos taken during the student’s stay unless the student declares otherwise on his arrival at the school.
Any bookings or payments confirm the acceptance of these Terms and Conditions.
Please check our web site or enquire for updated holidays as they may be subject to change. AIL Madrid is not obliged to refund or make up any classes missed due to National or Local holidays.
14.1 The Enrolment Fee is valid for one year from the first reservation made for AIL Madrid schools. In other words, any courses reserved during this year can be made using the same enrolment fee.
14.2 Discounts cannot be accumulated and all of them have a set duration period. They cannot be used in conjunction with one another and are only applicable when students are eligible for them when enrolling. Discounts that become available after the first enrolment are not valid.
14.3 Credit notes are only valid for up to 12 months (from your start date). Once this period of 12 months comes to an end, the student looses the right to them.
15.1 Refer back to points 8 and 9 (cancellations).
15.2 Refunds can only be made and money can only be transferred to the student who booked the course. Refunds will never be made out to anyone other than the student or the tutor who paid for the reservation.
16.1 Group Discounts: To qualify for AIL Madrid 10% group discount off course fees your group has to consist of at least two persons. At least two members of your group must enrol at the same time. At least two members of your group must be taking their course at the same time as each other. You must indicate the names of the members of your group on your enrolment form. At the time of enrolling, AIL Madrid will automatically apply the 10% discount to your invoice. In case of failing to follow the above described rules for getting a group discount, AIL Madrid will withdraw the discount and issue a revised invoice when you arrive in Madrid.
16.2 Promotional Offers: To be valid, these must be communicated to AIL Madrid at the time of making the reservation.
